Job Summary:
The procurement assistant is responsible for providing administrative and operational support to the procurement department. Communicate with group subsidiary factories from time to time, assist in procuring goods and services, maintaining procurement records, logistics / shipment and documents control.
Key Responsibilities:
* Sourcing and Vendor Management:
* Assist in identifying potential suppliers or vendors.
* Maintain vendor databases and contact information.
* Purchase Order Processing:
* Prepare and process purchase orders.
* Operate the ERP and OA system, assuring the orders, payment, shipment and documentation to be processed in time.
* Documentation and Record-Keeping:
* Maintain accurate records of procurement transactions, contracts, payment, shipment.
* Organize and file procurement-related documents.
* Pass the documents to subsidiary factory logistic team in time, avoid any demurrage or detention charges from liner or port.
* Communication and Coordination:
* Gather procurement requirements from subsidiary factories.
* Communicate with vendors regarding orders, shipment schedules, and discrepancies.
* Handle routine inquiries from both internal and external parties
* Cost Analysis:
* Assist in cost analysis and cost-saving initiatives.
* Identify opportunities for cost reduction through vendor negotiations and alternative sourcing.
* Quality Assurance:
* Collaborate with technician/quality control team to ensure the received goods meet quality standards.
* Market Research:
* Stay informed about industry trends and market conditions.
* Provide market intelligence to support strategic procurement decisions.
Skills
Qualifications:
* Bachelor’s degree or equivalent (a bachelor's degree in business, supply chain management, or a related field may be preferred).
* Proven experience in a procurement, trading or document controller role is a plus.
* Familiar with ERP, OA system.
* Strong attention to detail and organizational skills.
* Excellent communication and negotiation skills.
